This Privacy Policy explains how QualTrue (“QualTrue,” “we,” “us,” or “our”) collects, uses, discloses, retains, and protects information in connection with the QualTrue website and, where applicable, the QualTrue software service. This policy is intended to provide a clear description of our information practices. It should be read together with the QualTrue Terms of Service.
1. Scope
This policy applies to information collected through qualtrue.com, requests for pilots or demonstrations, communications with QualTrue, and information processed in connection with QualTrue accounts and services. Certain customer inspection and quality records are processed on behalf of a customer organization and are addressed below.
2. Information We Collect
2.1 Information You Provide
- Pilot, demo, or contact requests: name, job title, company name, state or other location information you provide, work email address, phone number, and additional information you choose to submit.
- Account information: where accounts are provided, information needed to create and administer the account, such as name, work email, company, role, and account credentials or authentication information.
- Communications: information you provide when contacting us for support, sales, feedback, or other business purposes.
2.2 Customer and Inspection Data
Customers may enter or upload information through the QualTrue application, including work-order, part, lot/batch, serial, requirement and acceptance-criteria information; measurements; pass/fail results; photographs; notes; operator and timestamp information; inspection records; evidence packets; quality review or approval information; and other information the customer chooses to store. The customer generally retains its rights in this data. QualTrue processes it to provide, maintain, secure, support, and improve the service and as otherwise permitted by the customer’s agreement with QualTrue or applicable law.
2.3 Technical and Usage Information
We may automatically receive standard technical information such as IP address, browser type, device type, operating system, pages viewed, date and time of access, referring website, and basic service activity. We use this information for operation, security, troubleshooting, service administration, and aggregate improvement rather than for advertising profiling.
3. How We Use Information
- Provide, operate, maintain, secure, and improve the website and QualTrue service.
- Respond to pilot, demo, sales, support, and other communications.
- Create and administer accounts and authorized users where applicable.
- Record, organize, preserve, and present inspection and quality evidence at the customer’s direction.
- Provide reporting, operational visibility, troubleshooting, and service support.
- Develop and improve features, reliability, usability, and system performance using information in ways permitted by our agreements and applicable law.
- Detect, prevent, investigate, and address fraud, abuse, security incidents, technical problems, and violations of our terms.
- Comply with legal obligations and respond to lawful requests.
4. AI-Assisted Features
QualTrue may offer AI-assisted features. Where enabled, information may be processed by the applicable AI functionality to provide the requested feature, such as assistance with organization, interpretation, summaries, or workflow support. AI output is assistive and may be incomplete or incorrect; customers remain responsible for inspection decisions, acceptance criteria, measurements, records, and quality determinations. QualTrue will not use customer data to train a general-purpose AI model except where expressly agreed with the customer or otherwise permitted by applicable agreement or law.
5. How We Share Information
- Service providers: hosting, infrastructure, email delivery, support, security, and other vendors that help us operate the service. They receive only information reasonably necessary for their services and are expected to protect it.
- Within a customer organization: customer administrators may control access to customer information through available account and role permissions.
- Legal and safety purposes: when reasonably necessary to comply with law, legal process, protect rights or safety, investigate abuse or fraud, or enforce agreements.
- Business transfers: information may be transferred as part of a merger, acquisition, financing, reorganization, sale of assets, or similar transaction, subject to applicable law.
- With consent or at your direction: when you specifically authorize or request a disclosure.
QualTrue does not sell personal information for money. We do not currently operate an advertising program on the website and do not share website-submitted personal information for cross-context behavioral advertising.
6. Cookies and Similar Technologies
QualTrue may use cookies or similar technologies that are necessary for website operation, security, preferences, and basic functionality. If analytics, advertising, or other non-essential technologies are introduced, QualTrue may provide additional notice or choices as required by applicable law.
7. Security
We use reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information we process. These measures may include access controls, authentication, secure infrastructure, vendor controls, monitoring, backups, and other safeguards appropriate to the service. No method of electronic transmission or storage is guaranteed to be completely secure, and we cannot promise that unauthorized access, loss, or alteration will never occur.
8. Security Incidents
If QualTrue determines that a security incident requires notice under applicable law or contractual obligations, we will provide notice and take reasonable steps to investigate, contain, mitigate, and remediate the incident, consistent with applicable requirements.
9. Data Retention
We retain information only for as long as reasonably necessary for the purposes described in this policy, to provide the service, maintain appropriate business and security records, resolve disputes, enforce agreements, and comply with legal obligations. Customer data retention and deletion following termination are also governed by the QualTrue Terms of Service and any applicable customer agreement.
10. Deletion and Export
Customers should export customer data and inspection records before the end of any applicable retention period. QualTrue may provide reasonable export functionality where available. Following termination, data may be deleted, anonymized, or retained for limited legal, security, backup, or legitimate business purposes as described in the Terms of Service.
11. Privacy Rights
Depending on where you live and whether a particular privacy law applies, you may have rights concerning personal information, including rights to access, correct, delete, obtain a copy of, or object to certain processing. You may also have rights concerning consent, portability, or complaints. QualTrue will handle valid requests in accordance with applicable law. We may need to verify your identity and may apply legally permitted exceptions.
12. California Privacy Notice
California residents may have rights under the California Consumer Privacy Act and related California privacy laws, to the extent those laws apply to QualTrue. These may include rights to know/access, delete, correct, and obtain information about the categories of personal information collected and disclosed, subject to legal exceptions. QualTrue does not sell personal information and does not share personal information for cross-context behavioral advertising as described above. We will not discriminate against an individual for exercising applicable privacy rights.
13. Categories and Sources of Personal Information
Depending on how you interact with QualTrue, categories may include identifiers and professional/contact information, commercial or account information, internet or network activity information, and information contained in communications or customer-submitted records. We collect this information directly from you or your organization, automatically from devices and browsers, and from service providers that support our operations.
14. International Processing
QualTrue and its service providers may process information in locations other than the location where you or your organization are based. Where applicable law requires safeguards for international transfers, QualTrue will use appropriate mechanisms or contractual protections.
15. Children
QualTrue is intended for business use and is not directed to children under 13. We do not knowingly collect personal information from children under 13 through the website.
16. Confidentiality of Customer Data
Customer inspection and quality information may contain confidential manufacturing information. QualTrue’s handling of customer data is also subject to the confidentiality, security, ownership, and permitted-use provisions of the applicable Terms of Service or customer agreement.
17. Changes to This Policy
We may update this policy as our service, technology, business practices, or legal obligations change. The updated version will be posted on this website with a revised “Last Updated” date. Material changes may be communicated through reasonable additional means when appropriate.
